An event that would pass for a corporate event is a banquet. Planning a banquet would require certain things in place for the event to be successful. The venue should be able to accommodate the correct number of people who will attend the banquet. It should neither be too small that it can’t accommodate all the people present nor too big that the people present feel it is empty. The venue should also be a place that is accessible by the attendees. They should be able to obtain transport to and from the venue.

Invitation to the banquet can be done through letters or emails. Whichever the method used, the content is what matters. A good invitation explains who will attend the event, the reasons for attending the event, the location, and the date of the event. It should contain a proper subject line, an opening, purpose of the banquet, location, request for RSVP, and closing.

Hosting a banquet would cause a planner to prepare by picking the proper date for the banquet, choose an appropriate location for the banquet, plan audio-visual equipment in advance, have a backup plan, and be ready to adjust certain things.  It will also require a planner to set a realistic budget, create a good timeline for the banquet, choose a theme, and take care of the logistics.

To prepare for a banquet, a planner would have to start planning early, get a structure in place, look for volunteers to help with some of the work, take care of the small details, and finally advertise the banquet.

A planner should ensure that there are certain facilities at the banquet such as projection screens, good high speed internet connection, proper seating arrangement, video conferencing system, air conditioning, common room, and efficient staff. 

Meals should be composed of things that people would enjoy eating while having a nice time. They include pasta, salads, burgers, vegetables, seafood, poultry, whole grains, pies, curries, sandwiches, vegetarian food, and meat dishes.

There are ways of making a timeline which include identifying the achievement or deadline each timeline represents, determining the scale of the timeline, adding various events to the timeline, and the use of visuals in the timeline. 

The guest list is very important in every banquet. It is crucial to know the contact details of anyone who might be added to the guest list. Categories of attendees of the banquet are drawn and attendees grouped accordingly. One person should be tasked with managing guest list to maintain confidentiality of the guest list. It is important to ensure that the invitations are sent to the right people and that people don’t get the same invitation multiple times.

Publicity is good. It makes people aware or reminds them that a particular brand exists. A corporate event such as a banquet can be publicized by first identifying the target audience, using creative ways of informing them about the banquet, and promoting the banquet on various social media platforms. 

A banquet planner should ensure that people attend the event. This can be done by making the city part of the banquet, creating content that tells a story, planning a unique experience then promoting it, sending personal invites, video and live streaming, and getting the media to cover the banquet. 

Being a social event, a banquet is a nice place to promote a particular brand. This can be done through the use of booths. Attracting visitors to a booth may require one to incorporate 3D projection mapping into the booth design, hiring dedicated booth staff, playing interactive booth games, planning exhibition booth activities around the main agenda of the event, launching new products at the event, basing the booth location on where the restrooms, concession stand, main entrance, and secondary entrances are, making the booth visually stunning, strategically placing the booth among other brands with similar target audiences, hosting a kickback space, providing toys to play with, and using the airspace above the booth. 

Announcements about various things in an organization are made to inform members of the public about various things. This can be done by creating subscription forms with a lead magnet, placing a banner on a site, and running a giveaway using emails and social media platforms. It is important for a planner to target the event announcements, put the most significant value upfront, combine different channels, and create a thought-out onboarding experience. 

Finding sponsors for a corporate event can be a tricky affair. It can be done by gathering a list of prospects, asking staff what connections they may have, looking through the organization’s donor database, looking through payables for sponsor projects, and looking around the community for organizations with a similar mission statement. It is important for a planner to know what they are looking for and to be clear on what they are asking for. A planner should also inform the sponsors what to expect. It is also good to accept in-kind sponsorships.

Celebrities can be a good way of promoting a corporate event. Attracting celebrities to an event is an uphill task. An event planner can find a celebrity using their connections. A planner should approach a celebrity with genuine interest and know what is important to them. The celebrity should have a reason to attend and be the center of the show. Respecting a celebrity’s time is very important. After the event, it is important for a planner to express gratitude to the celebrity.

Logistics are a crucial part of a corporate event. They should be planned accordingly to avoid chaos at the event. A planner should find a proper venue. The next step is mapping out the venue for the event. A planner should determine all entrances and exits. Technology can also be used to streamline event logistics. Contingency plans should also be created to deal with issues that may arise during the event (Allen, 2009).
